Privacy statement

ServiceClub Suite is a product of Dakota Digital B.V., based in Soest, the Netherlands (Chamber of Commerce 88261034). This statement explains which personal data we process, why, and what rights you have. Questions? Email dakota.digital@outlook.com.
1. This website (serviceclubsuite.nl)
- No cookies and no tracking. We use no analytics services, ad networks or social media buttons that follow you.
- Light or dark: if you switch the theme, your own browser remembers that choice. It never leaves your device.
- Hosting: the site runs on Vercel. Like any web server, Vercel records technical data such as your IP address and the time of your visit, to keep the site secure and available.
- Fonts are served from our own server; no data goes to Google or other parties.
- Contact: if you email us, we only use your details to answer your question and, if you become a customer, for the agreement and invoicing.
2. The platform for clubs
Clubs use ServiceClub Suite for their website, member app, calendar, attendance and lottery. The club is responsible for its members' data (data controller). Dakota Digital processes that data on behalf of the club (data processor) and records this in a data processing agreement.
The club decides which data is involved. Usually this is:
- name, email address, phone number and possibly address, profession and photo;
- birthday (and, if the club enables it, year of birth);
- sign-ups for activities and attendance;
- for the lottery: name, possibly contact details, ticket numbers and payment status;
- login details (passwords are only stored encrypted).
We use this data only to run the platform for the club. We do not sell it and do not use it for advertising.
3. Who helps us

These companies have a parent company in the United States. Where data may leave the EU, appropriate safeguards apply, such as the EU Standard Contractual Clauses.
4. Security
- All connections are encrypted (https).
- Each club sees only its own data; the database itself enforces this.
- Only members of the club can see member details, birthdays and documents. The club decides what is public (such as news and the board page).
- Admin rights (such as webmaster or secretary) are granted per person.
5. How long we keep data
As long as a club is a customer, we keep the data the club puts in the platform. If a club leaves, it can export its data, after which we delete it. A member who leaves the club can be removed by the club.
6. Your rights
You have the right to access, correct or delete your data, and to object. If it concerns data your club keeps about you, please contact your club first; we help the club with this. For anything else, email us. If you are not satisfied, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
7. Changes
If we change this statement, the new version will be on this page, with the date at the top.
